Job Summary

This position exists to provide support to the procurement team in the Support Office. The Procurement Officer is to ensure proper specification management, samples are approved by the appropriate staff before final production. He/she is to manage terms of contract with vendors and ensure deliveries are timely and planned with Inventory/user department with all relevant documentation eg quality assurance are properly signed.

Key Responsibilities

This position exists to provide support in the procurement function. The Procurement Officer will be responsible for:

  1. Management of terms of contract with vendors to ensure strict adherence
  2. Ensuring prompt and regular update of vendor information on database
  3. Ensuring vendor appraisal and quality assurance forms are administered promptly
  4. Ensuring samples are approved before final production
  5. Ensuring goods delivered are same as sample approved
  6. Ensure quantity of goods received are same a PO quantity
  7. In the case of service ensure job completion sign off
  8. Communicate with vendor on the status of bid submitted
  9. Ensure supplier data is updated according to MSION Procurement Guideline
  10. Work with Cooperate Services and Legal on ongoing contracts
  11. Ensure all documentation is submitted by the vendor for inventory and payment
  12. Prepare payment vouchers, follow-up on approvals and submit to Finance
  13. Ensuring that an up to date price List of Frequently procured items is maintained

EXPERIENCE & SKILLS

  1. Previous work experience required:

Essential: Considerable (2 - 3 years) full-time professional-level experience involving the Procurement and Logistics. Working on procurement transactions, experience in vendor management.

Desirable: Knowledge and experience in a health/medical or INGO organizations; experience in working in donor funded programmes.

  1. Technical knowledge or skills

Essential: Procurement and Supply Chain, knowledge of ERP packages (Tally) will be an advantage, MS Office programs and professional certification in view.

  1. Organizational skills

The Procurement Officer should have the following skill sets: communication, active listening and learning, coordination, judgment and decision making, organization, time management, writing, service orientation, negotiation, and mathematics

Qualifications

EDUCATION, QUALIFICATIONS AND TRAINING

  1. Essential: Bachelor’s Degree in Supply Chain Management, Procurement & Stores Management, Commerce, or Business Administration.
  2. Essential: Fluency in English (Written, Spoken and Reading)
  3. A professional Qualification in Procurement and Logistics Management will be an advantage
